Start with the whole process
Write down how a request arrives, who reviews it, where the evidence lives, and what signals completion. Include the steps people do outside the formal process.
Make exceptions explicit
What happens if a reviewer is absent? Can a request be returned for changes? Who can cancel it? Decide these behaviors before choosing the automation tools.
Plan for ownership
A workflow needs an owner, a support contact, and documented connections. Treat monitoring and recovery as deliverables alongside the automation.
Choose the platform after the process
SharePoint, Forms, Power Apps, and Power Automate can support different parts of a process. Choose the combination after understanding data, permissions, licenses, and integration needs.
